Ideal candidate will be supporting an Australian client accredited by the Mortgage & Finance Association of Australia (MFAA), which upholds a strict Code of Practice requiring professionalism, ethical behaviour, transparency, and an unwavering commitment to clients.

Responsibilities:

Loan Application Support & Processing

  • Assist in gathering and verifying client documents (e.g., income statements, credit reports, bank statements).

  • Prepare and submit loan applications to lenders, ensuring accuracy and compliance.

  • Follow up with banks, lenders, and clients to track loan progress and request additional information if needed.

  • Maintain an organized CRM system with updated loan statuses and client records.

Client & Lender Communication

  • Serve as the primary point of contact for clients, answering inquiries and providing updates.

  • Coordinate with lenders, underwriters, and settlement agents to ensure smooth loan approvals.

  • Educate clients on the mortgage process, assisting with any concerns or questions.

Compliance & Documentation

  • Ensure all documentation is complete and compliant with regulatory and lender guidelines.

  • Conduct preliminary assessments to determine client eligibility and loan options.

  • Stay up to date with industry regulations and lending policies to maintain compliance.

Administrative & Support Tasks

  • Schedule appointments and manage the mortgage broker’s calendar.

  • Prepare and send loan estimates, disclosures, and follow-up emails.

  • Assist in marketing efforts, such as updating client databases, newsletters, and social media.

Job requirements

  • Minimum 4+ years of hands-on experience in Australian mortgage broking support or back-office loan processing.

  • Solid track record in preparing, submitting, and tracking loan applications for Australian lenders and aggregators (e.g., AFG, Connective, PLAN Australia, FAST).

  • Experienced in handling full loan life cycle – from document collection and compliance checks to settlement coordination.

  • Familiar with CRM tools like Salesforce, HubSpot, Velocify, or industry-specific systems.

  • Strong command of Microsoft Office Suite and cloud collaboration tools (e.g., Google Workspace, Dropbox).

  • Confident navigating VOIP tools like Zoom Phone, RingCentral, or 3CX for client and lender communication.

  • WIth 4+ yrs experience in Australian lending, knowledge of this is expected.

  • Proven ability to conduct preliminary assessments and identify loan options based on income and financial documentation.

  • Exceptional document management skills with high attention to detail and accuracy.

  • Strong follow-up processes to ensure timely responses from lenders, clients, and third parties.

  • Fluent in professional English (written and verbal) with the ability to communicate confidently with Australian clients and stakeholders.

  • Friendly, client-focused, and capable of managing expectations with care and clarity.

  • Able to build rapport, explain mortgage processes simply, and manage multiple active loan files 

  • Reliable high-speed internet with backup connection.

  • Quiet home office environment conducive to professional communication and confidentiality.

  • Availability to work AEST/ACST hours (aligned with South Australia business times).

  • Bachelor’s degree in Finance, Business Administration, Accounting, or a related field (preferred but not essential with strong industry experience).
